Who we are

AMS Edition is the data controller for personal data collected through this website and through our direct communications with you. Our address is Unit 18 Prospect Park, Cowes, Isle of Wight, PO31 7GJ. You can contact us about this policy or your data at info@amsedition.com or on 07970 220 024.

We are committed to handling your information in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

The information we collect

We only collect the information we need to answer your questions and provide quotes. This includes:

  • Enquiry form: your name, email address, postal address, postcode, the products you have selected, your message and details of your vehicle, which may include its registration number.
  • Contact form: your name, email address and message, plus any vehicle details you choose to include.
  • Testimonial form: your name, your comments and any other details you choose to submit for publication.
  • Phone, WhatsApp and email: your name, phone number or email address, the content of your messages and any photos you send us.

We do not ask for payment card details through this website and we do not knowingly collect information from children.

How we use your information and our lawful bases

  • Responding to enquiries and preparing quotes. We use your details to check fitment, answer your questions and send a quote. Our lawful basis is that processing is necessary to take steps at your request before entering into a contract.
  • Fulfilling orders and providing fitting. If you go ahead, we use your details to make, supply or fit your parts and to keep you updated. Our lawful basis is performance of a contract.
  • General correspondence and running our business. We may keep a record of conversations to deal with follow-up questions, improve our service and protect against misuse of our forms. Our lawful basis is our legitimate interests in running and securing our business, balanced against your rights.
  • Publishing testimonials. We only publish a testimonial with your consent. You can withdraw consent at any time and we will remove it from the website.
  • Legal obligations. Where an enquiry becomes a sale, we keep the records required for accounting and tax purposes.

We do not sell your data, and we do not use it for automated decision-making or profiling.

How long we keep it

Enquiries and contact messages are kept for up to 24 months and then deleted, unless a customer relationship continues, for example because you have placed an order or have an ongoing job with us. Records relating to completed sales are kept for as long as the law requires. Published testimonials remain on the website until you ask us to remove them or we stop displaying them. If you would like your enquiry deleted sooner, ask us and our site administrator can delete it on request.

Who we share it with

We share personal data only where necessary with service providers who help us operate, including:

  • our website hosting provider, which stores form submissions on its servers;
  • our email provider, which carries our correspondence with you;
  • WhatsApp, if you choose to contact us that way, under its own privacy terms;
  • professional advisers such as our accountant, where required.

We use OpenAI services to help prepare general website content. No personal data from your enquiries or messages is given to OpenAI. We may also disclose information if required by law. Where a provider processes data outside the UK, we rely on appropriate safeguards recognised under UK data protection law.

Website visit statistics

When you view a page we record basic technical information on our own server: the page you viewed, the date and time, the website that referred you, your IP address, your browser and device type, and an approximate country. We use it to see which pages are useful, to understand how people find us and to keep the site secure. No cookies are used for this and the information is not shared with advertisers. Our lawful basis is our legitimate interests in running and improving our website. These records are deleted automatically after 90 days.

Cookies

This website currently uses only an essential session cookie, which is needed for features such as the enquiry list and form security. We do not use analytics or advertising cookies (our visit statistics are stored on our own server and need no cookie). If we introduce analytics in future, we will update this policy and our cookie policy and ask for your consent where the law requires it.

Your rights

Under UK GDPR you have the right to:

  • access the personal data we hold about you;
  • ask us to correct inaccurate or incomplete data;
  • ask us to delete your data;
  • ask us to restrict how we use your data;
  • object to processing based on our legitimate interests;
  • receive your data in a portable format, where applicable;
  • withdraw consent at any time where we rely on consent, such as for testimonials.

To make a request, email info@amsedition.com. We will respond within one month and will not usually charge a fee. We may need to confirm your identity before acting on a request.

Keeping your data secure

We take reasonable technical and organisational steps to protect your information, including secure connections to this website, password-protected access to our systems, and limiting access to the people who need it. No method of transmission over the internet is completely secure, but we work to keep the risk low and will act promptly if a problem arises.

Complaints

If you are unhappy with how we have handled your data, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office, the UK supervisory authority for data protection, at ico.org.uk.

Changes to this policy

We may update this policy from time to time, for example if we change the services we use. The date at the top of this page shows when it was last revised.
